Depending on how you interact with K/C Move, we may collect the following personal data:

• account details for the booking platform;
• purchases, bookings, attendance, cancellations and no-shows;
• membership, class card, package and credit information;
• communication with us by email, phone, contact form, social media, booking platform or in person;

• information needed to assess a suspension, extension, cancellation or refund request, such as limited medical or relocation documentation;

We do not intentionally collect more personal data than necessary for the relevant purpose.

K/C Move processes personal data for the following purposes:
• to create and manage Client accounts;
• to process purchases, bookings, Memberships, class cards, packages, payments and invoices;
• to provide Classes, private training, duet sessions, workshops, events and other services;
• to manage attendance, cancellations, no-shows and waitlists;
• to communicate about bookings, schedule changes, payments, account matters, service updates or customer support;
• to assess suspension, extension, cancellation or refund requests;
• to support safe participation in Classes where the Client has shared relevant health or physical information;
• to send newsletters, offers and marketing communications where permitted;
• to improve the Website, Booking Platform, services and Client experience;
• to analyse website use, campaign performance and business performance;
• to prevent fraud, misuse, security incidents and payment issues;
• to comply with legal, tax, accounting and administrative obligations;
• to handle complaints, disputes and legal claims.
K/C Move processes personal data only where there is a legal basis under applicable privacy law. Depending on the situation, the legal basis may be:
Performance of an agreement: where processing is necessary to provide a Product or service requested or purchased by the Client.
Legal obligation: where K/C Move is required to process or retain data for tax, accounting, legal or regulatory reasons.
Legitimate interest: where processing is necessary for normal business operations, client communication, service improvement, fraud prevention, website security, basic analytics or the establishment, exercise or defence of legal claims, provided that the Client’s privacy interests do not override K/C Move’s interest.
Consent: where the Client subscribes to a newsletter, accepts non-essential cookies, agrees to appear in promotional photos or videos, or provides certain health-related information where consent is required.
The Client may withdraw consent at any time. Withdrawal does not affect processing carried out before consent was withdrawn.
Movement and exercise involve physical activity. Clients may voluntarily share information about injuries, illness, pregnancy or other physical limitations.
K/C Move uses this information only to support safe participation, adapt exercises where possible, assess suspension or extension requests, respond to emergencies or protect legal interests.
Clients should not send detailed medical files unless K/C Move specifically requests limited documentation for a relevant purpose.
Health-related information is treated with extra care and is accessible only where necessary.
If you subscribe to the newsletter or otherwise consent to marketing, K/C Move may send you news, updates, offers and lifestyle content by email.

• account, booking and attendance data are kept while the account is active and for a reasonable period afterwards;

• newsletter data are kept until the Client unsubscribes or requests deletion;
• cookie data are kept according to the cookie type and cookie settings;
• health-related information is kept only as long as necessary for the relevant safety, booking, suspension, extension, dispute or legal purpose.
K/C Move takes reasonable technical and organisational measures to protect personal data against loss, misuse, unauthorised access, disclosure, alteration or destruction.

Children under 16 may access the studio only with parent or guardian permission and K/C Move approval.
K/C Move does not knowingly collect personal data from children for marketing purposes without appropriate consent.
K/C Move may use photos or videos for internal, educational or promotional purposes where permitted by law.
Where required, K/C Move will ask for consent before using clearly identifiable promotional photos or videos.
If you do not wish to appear in photos or videos, please inform the teacher or K/C Move staff before the Class.
